Asset Management Template

The Asset Management app was developed to help organizations manage their important capital assets. If you have valuable assets and would like to manage where they are located, who is responsible for the asset and other important information, then this template would be a great starting point.

The app allows you to organize and view assets by their asset ID/tag, their site/location and the type of asset. This way you can easily check how many copiers you have across the organization or how many managed assets are at the Western Factory. The app also allows you to manage the asset lifecycle: Assets can be placed in service, removed from service and finally disposed of.

Setting Up the Asset Management App

Please following these steps to get the Asset Management app ready for use in your organization:

  • The Asset form asks for the category the asset belongs to. To supply this list of asset categories, you need to go to Lookup Lists > Asset Categories in the left side navigation, and create an Asset Category record for each asset category you want to use: i.e. PC, Office Equipment, Mobile Phone, Production Equipment, etc.
  • The Asset form asks for the site the asset is located at. To supply this list of site names, you need to go to Lookup Lists > Sites in the left side navigation, and create a Site record for each site name you want to use: i.e. Headquarters, LA Office, New York Office, etc..
  • Dovrai assegnare le persone appropriate ai ruoli di sicurezza all'interno dell'applicazione. Vai su Imposta applicazione di ricerca > Modifica app nella navigazione a sinistra, e una volta che appare la schermata di progettazione dell'app, seleziona Sicurezza > Ruoli e utenti nella navigazione di progettazione a sinistra. Using the Asset Management App

When you get a new capital asset, enter its information into an Asset record. If the asset is to be placed immediately in service, you can add its real site and location and place it in service (click on the Place in Service button at the top of the form). If the asset is to be stored before use, you can set its site and location to the storage area, and later place it in service at its final site and location. Assets can be retired once they have come to the end of their functional life, or marked as being in storage.

Questa app ha una schermata principale chiamata Asset. It is used to store information about a specific capital asset.

This app also has two additional forms that are used to manage lists of lookup values used on the Asset form. Each value in the Asset Category or Site lookup list fields is a record created with that form (These records can only be created and edited by the App Admin role):

  • Asset Category –  Used to manage a list of categories of assets, such as PC, Photocopier, Mobile Phone, Production Equipment, etc.
  • Site – A building or site that an asset can be located at.

This application has 3 security roles:

  • App Admin – Can create, edit and delete all Asset records, and also the Asset Category and Site lookup lists records.
  • Editor – Can create and edit Asset records.
  • Reader – Can see but not create or edit Asset records.

Le fasi del flusso di lavoro per i record degli asset e l'accesso di sicurezza in ogni fase sono:

  • Not in Service – The App Admin role and the record owner (creator) can edit and delete the record, the Editors role can edit the record, and the Readers role can see but not edit the record.

  • In Service – The App Admin role can edit and delete the record, Editors roles can edit the record, and the Readers role can see but not edit the record.

  • Disposed – The App Admin role can edit and delete the record, the Editors role can edit the record, and the Readers role can see but not edit the record.

There are no workflow notification emails.

Updating the Asset Management App

Don’t forget, as well as being a fully functional app that’s ready to go, the Asset Management template app can also be a useful starting point for you to build from. If you want extra information tracked for your assets, or want additional views to sort the assets in different ways, you can make those updates yourself.
